KMAP BULLETIN: Important KMMS Updates

The new KMMS system went live on April 4, 2022. Please see below for a list of important resources, as well as navigational tips and reminders for the new system:

System Issues and Updates

Access the KMAP Open Claims Resolution Log listed under the Publications tab, then Provider Bulletins on the KMAP Public Portal for information and updates on known issues.

Training Materials

Navigate to Helpful Information under the Provider tab on the KMAP Public Portal to find the reference guide and training videos, including the newest video ‘KMAP Portal Demo - Eligibility Verification.’ There are also videos to help walk you through the Provider Secure Portal registration process. More videos will be released in the future.

Printing Eligibility Verification

If you have encountered an issue printing an Eligibility Verification using the Chrome or Edge browsers, review the potential workarounds while we continue to research this issue.

  • If using Chrome, an extension can be downloaded which will allow you to capture the entire screen to print or save as a PDF for your records. Full instructions are available on the KMAP Public Portal under Helpful Information.
  • If using Microsoft Edge as your browser, there is a Capture Full Page option available. Full instructions are available under Helpful Information.
  • Take a screenshot, save to a Word document and print from Word.

837 Requirements

There have been questions on changes to the 837 requirements. The following are noted:

  • ISA06 and GS02 must contain the Trading Partner ID (TPID). 
  • ISA08 must list the Receiver ID as ‘00005.’
  • HIPAA x12 standards as outlined in the Implementation Guide are being enforced.

SNIP Level Editing

SNIP Level Editing is enforced for electronic claims submission. Claims will be rejected if they do not comply with the requirements in Newsletter GL2-004.

Referring Provider Field

When entering a web claim, a valid KMAP enrolled provider number will be required if a referral number is entered. Only enter a referral number if required.

New Required Field

Patient Number/Patient Account Number is now a required field when billing a web claim. In this field enter the unique identifier from your patient management system which corresponds to the patient that received the service.

Secure Portal Registration

Providers must register to use the new KMAP Provider Secure Portal. The administrator must complete the registration before anyone within the organization will have access as a delegate. See Bulletin GL2-018 for information on training guides, access to training videos, and contact information for further assistance with the registration process.

New Secure Portal Access

Administrators and delegates should be using their new User ID and Password to access the New KMAP Provider Secure Portal at:

Password and Provider Secure Portal Tips

  • When doing a copy/paste of a password, ensure there are no spaces within the password or at either end.
  • Ensure your bookmarks are set up prior to entering any credentials.
  • Ensure you are using the new production URL – Some users are attempting to use the URL used during testing prior to KMMS Go-Live. https://portal.kmap-state-ks.us/SecurePage
  • If you are registered as a Delegate, you must get with your Administrator so they can associate you with appropriate security functions and providers within the provider organization. The Administrator needs your Relationship Code and Last Name. See further instructions on the KMAP Public Portal under Helpful Information.

Web PIN

Providers cannot use their legacy KMAP Web PIN for the new KMAP Provider Secure Portal. An easy way to identify which PIN you have is to confirm how many characters are in your PIN. The legacy PIN consisted of 9 characters and the new KMAP Portal PIN is 10 characters. If you do not know your PIN, call Customer Service at 800- 933-6593, then choose ‘Tier 1’ for assistance.

Provider Maintenance Online

Providers are now able to submit updates for maintenance items, such as provider address/phone number changes, adding a specialty, or affiliating new members to a group via the KMAP Provider Secure Portal. The Provider Portal Reference Guide, which provides instructions, is posted on the KMAP Public Portal under Helpful Information.

New Billing Packets

Billing packets are available under Helpful Information to assist with submitting dental, institutional, pharmacy, and physician claims using the new Provider Secure Portal.

KMAP Provider Secure Portal Self-Service Password Option: 

  • From the Sign-In Password Page, click on ‘Forgot Password’ 
  • Answer the Security Questions
  • Change your Password
  • If you fail the Security Questions or have an issue, contact Customer Service at 800-933-6593, then choose ‘Tier 1’ for assistance.
